Summary

This page describes the design choices that need to be made during the functional implementation of StudyCoach. StudyCoach has been set up in a flexible way, to be able to fit in as well as possible with the (educational) vision of your educational institution on student guidance. 

This document is divided into a number of subjects. For each topic, a number of choices () needs to be made, preferably in the same order as the structure of this document. This document helps you to make the right choice for your educational institution and serves as a preparation for the functional design workshop. Of course, the StudyCoach implementation consultant will support you in making the right choice and implementing these choices in the software during the functional design workshop.

This document structures the functional implementation of StudyCoach. We assume that a kick-off meeting has already taken place in which the goal, planning and evaluation criteria have been discussed. We also assume that StudyCoach is already installed in your institution's Canvas environment. Check this page for more information on the technical installation of StudyCoach.

Roles in StudyCoach

Within StudyCoach we know different roles: this page you will find more information about these roles. 

➤ Complete the table: name the roles within your institution. There may be multiple personas belonging to the same role.

* It may be the case that not all roles in StudyCoach will be used by your institution. Enter only the institution-specific names of the roles that will be used.

➤ Determine if the coach should have an observer role in Canvas using this page.


General settings

Managers can determine the general settings in StudyCoach. More information on this is to be found on this page.

➤ Determine if you would like to replace the StudyCoach logo in the upper left corner of StudyCoach with an alternative logo that fits your own institutes' identity. Make sure to bring the replacement image with the appropriate settings to the functional design workshop if an alternative logo is chosen. 


➤ Determine if you want to display course descriptions from Canvas in StudyCoach. 


Canvas data synchronization

Managers can configure what data is synchronized from Canvas to StudyCoach. More information about this Canvas data synchronization can be found on this page.  

➤ Determine per (sub-)account which learning analytics are supposed to be synchronized to Canvas. In short, determine if you want to enable, disable, or inherit from the parent account the attendance, page view, participation, submission, learning outcomes, and grades for each sub-account?

➤ Determine which terms should be synchronized to StudyCoach. When doing so, consider carefully whether Canvas data from previous terms is still valuable. 

➤ Determine which (sub-)accounts should be synchronized to StudyCoach.


Calculation of behavioral indicators

In StudyCoach, data is retrieved from Canvas and clustered into a score per behavioral indicator per week. This data is then collected by course enrollment, by student, and by course via a trend per indicator. More information on the process of data collection and the translation of scores into the calculation of trends can be found on this page. The manager can manage the limits of these indicators and trends. Read more about the calculation settings.

➤ Determine the setting for the trend (α). As an institution, are you going for the short, medium or long term?

➤ Determine if you want to adjust the default limit values of the colors of the trends.

➤ Determine whether you want to adjust the default boundary values of the scores. 

➤ Determine what would be a good trigger for the behavioral indicators page view and participation.


Permissions

Managers can configure user permissions per (sub-)account to determine the data visibility per role. More information can be found on this page.

➤ Define the permissions for 'all accounts' with respect to:

- access to StudyCoach and the limited view

- viewing the grades, learning outcomes and behavioral indicators

- receiving notifications and Canvas Inmail

- managing and viewing files

- managing and viewing student summaries

➤ Determine if different permissions are needed for specific (sub-)accounts.


Import users

Managers are responsible for the user management within StudyCoach. More information on this can be found on this page.

    ➤ Before the functional design workshop, prepare a first version of the CSV file for coaches. 

    ➤ Before the functional design workshop, prepare a first version of the CSV file for department coaches.

    ➤ Write down the names of the (sub-)account managers you want to add in StudyCoach.  


Labels

Labels can be used as a way to categorize and filter students within StudyCoach. You can find more information on this page.

  ➤ Think about whether you would like to apply labels in StudyCoach. Make a note of some sample labels in advance of the functional design workshop if the label functionality will be used.


Template for folder structure

In StudyCoach, files can be stored per individual student. As a manager, you can create an empty folder structure, in other words a template, for all students. You can find more information about this on this page

 ➤ Think about whether you would like to apply a template for a folder structure in StudyCoach. Make a note of some sample folders in this template if this functionality will be used.
