StudyCoach has the (sub-account) managers, department coaches and coaches roles in addition to the student and teacher role (which we know in Canvas). The student and user tabs provide an overview of all users and their roles. Users and roles can also be assigned or removed here by the manager.

If you want to perform user- and rolemanagement within StudyCoach (without CSV upload), you will find an easy overview in the students tab and the users tab where all actions around usermanagement can be done: arranging (in bulk) student-coach relationships, arranging (in bulk) the deletion of users or a change of users' role.

Where to find users in StudyCoach?

The student tab

The student-tab lists all users who are in StudyCoach as students. In the 'coach' column for each student you can see who the current coach(es) of this student are. This can also be searched and filtered. In short, in the student list you will find the current student-coach relationships.

The user tab

The user-tab provides one central user list of teachers, coaches, department coaches and managers within your (sub)account(s).


  • For teachers, the number indicates how many courses they are teachers in.
  • For coaches, the number indicates how many students they coach.
  • For department coaches, it states which account(s) they are department coaches for.
  • For (sub-account) managers, it states which account(s) they are managers of.



It is possible to sort the name, SIS-id, teachers and coaches column chronologically. The roles, department coach and manager-column can be filtered by account. The name, SIS-id and account-columns can also be searched.


Which roles and relations does a user have?

Adding a new user or relationship (by API)

StudyCoach shows all teachers and students who are associated with courses in the Canvas sub-account (which is synchronized). So users are automatically added to StudyCoach by virtue of being teachers or students in Canvas courses. You can then assign these users relationships, for example, a coach-student relationship, or a department coach - sub-account relationship. 

On the student list, you can add relationships between coaches and students. Via the action menu (behind the three dots at the end of the line) you can 'assign' a coach for a student. You can also add multiple relationships at the same time on the student list. Select the 'checkboxes' at the beginning of the line to assign multiple students to one or more coaches at the same time.

  Tip: Can't find a user in StudyCoach? Then check to see if this user is a teacher or student in a course in the Canvas sub-account. 

  • If it is not, it is important to add the user as a teacher or student in a course in the sub-account.
  • Then after a nightly sync, the user will become visible in StudyCoach. Can't wait overnight because there is a rush? Then arrange the following: The user should try to access StudyCoach by clicking on the StudyCoach element (with the magnifying glass) in the global navigation menu in Canvas. An error message is then displayed to the user. Nevertheless, the user is now created in StudyCoach and visible to the manager. If you cannot reach the user, as a manager (when allowed) you can use the ''act as' functionality in Canvas.

You can check if a person is already a user in StudyCoach, by simply searching on the user's name in the upper right corner in StudyCoach. When the person appears, the person is already a user in StudyCoach.

Deleting a user or relationship

On the student list, you can remove relationships between coaches and students. Via the action menu (behind the three dots at the end of the line) you can 'remove a coach' for a student. You can also delete multiple relationships at the same time on the student list. Select the 'checkboxes' at the beginning of the line to remove multiple students simultaneously from one or more coaches. On the student list, in addition to relationships, you can also delete users (in bulk) by clicking 'delete user' from the action menu.

Within the environment of a user in StudyCoach, one can also delete a user:


When you delete a user, all data is deleted from StudyCoach. Examples include a user's role, behavioral indicators, courses, coach history, and notes. However, it is important to note that a username and e-mail address of every user who has ever been given an account in StudyCoach will be found in the database. In addition, only information will be deleted from StudyCoach. No information will ever be deleted from Canvas.


  Tip: For privacy reasons, it is important to remove users from StudyCoach when, for example, they have quit the course or no longer belong to a particular (sub-)account. These users' data will continue to exist in Canvas, but synchronization between StudyCoach and Canvas will stop when a user is removed.



Adding, changing or deleting a role

Under the roles tab within a user's environment, you will find an overview of all the current roles and associated relationships a user has. The StudyCoach roles manager, department coach and coach can be managed within a user's environment, or on the user list. 

When you want to add or remove a new role, you can use the 'add role' and 'remove role' options from the user list via the action menu. If you want to add the role of manager or department coach, select the appropriate (sub-)account. If you want to attach multiple (sub-)accounts to the user, repeat the above steps. You can also add, delete or change a role to a user via the user environment.
