Working with collections and activities

Organizing the portfolio is possible by using collections. In a collection, evidence and feedback are collected. The user determines what represents a collection, for example, competencies students are working on, learning outcomes, projects, a minor, etc.  


The number of collections within a portfolio is unlimited. While submitting the portfolio, a user decides on which collections to submit. Thus, collections can be excluded from the assessment. Collections can also be hidden by a portfolio owner.


Creating Collections

To create a new collection, start at the homepage of Portflow.

  1. Click on ‘+ Add new’
  2. Click on ‘Collection
  3. Give the collection a name (mandatory) and a subtitle (optional)
  4. Click on ‘Add

Rearranging Collections

On the home page of Portflow, it is possible to:

  • Change the name and subtitle of the collections
    1. Click on the three dots (⋮)
    2. Click on 'rename'
  • Move a collection (to a different section)
    1. Click on the six dots on the left side of the collection card (⋮⋮)
    2. Drag the collection to the new place
  • Change the color of the collection 
    1. Click on the collection icon
    2. Pick the desired color for the collection
  • Hide a collection from visitors
    1. Click on the three dots (⋮)
    2. Select 'hide'

If desired, an extended collection description can be added via the pen icon within the collection (the page opens when you click on the collection card)



Creating and managing activities within a collection

What are activities? 

Activities are 'placeholder' evidences in a certain order, within a collections and contain titles, descriptions and associated goals. Activities can be imported through a template or created by the student. Activities can be enriched with evidences by the student. 


What is the difference between evidence and activity view?

On the collection page, you can switch 'views' between the activity view and the evidence view. The differences are shown in the table and image below.

Immediately add evidence from this view, which is not associated with neither a goal nor an activityFirst create an activity, before evidence can be added to the collection. It then immediately contains the same information as the activity (associated goals, activity, title and description)
