Under the tab "Courses" in the global navigation you can find all the products and structure of your education. In the submenu you can find Templates, Course Editions and Program Editions. Per subtab we created a separate article.

Program Editions

In this article we are going to take a look into Program Editions

After setting up the total structure and creating course templates in Eduframe, you can create planned programs or in other words: Program Editions. Under the tab Program Editions you will find an overview of all the Program Editions within Eduframe. You can click on them and you can see the amount of enrollments per program edition. 


How to filter in Program Editions?

In program editions you can filter on program template and search for the name of the edition.  


How to create new Program Editions?

Within Eduframe you can create program editions by adding them one by one. There are two ways to create program edition:

1. Courses > Program editions > + Program Edition

2. Courses > Template > Program template > Program Editions > + Program Edition


Both options come to the same fill in page: 

  • Select the Program template
  • Choose an edition name
  • Start- and end-date, representing the nominal duration of the program edition
  • Minimum - Maximum number of participant (this only has influence on the signup form, the admin can always add extra participants) 
  • Price calculation
    • Price per enrollment (mostly used)
    • Price per order
    • To be determined
    • Free
  • Price
    *only appears at price per enrollment or price per order.
  • Publicly available on signup form (enable/disable)
  • Automatic completion (enable/disable)
  • (optional) custom fields you created and linked to Edition


Click on Save and you created a program edition. 


Within the Program edition

After creating a program edition, you can add and view more detailed information about this program edition. If you click on the name of the program edition, there will be more tabs:

  • General
    General information about the program template
  • Elements
    Connect course templates or course editions to this program edition. This can also be specified later on. 
  • Calendar
    Calendar with all meetings coming from the linked course editions of this program edition.
  • Enrollments
    Contacts that are enrolled for this program edition
  • Orders
    Orders connected to this program edition
  • Invoices
    Invoices connected to this program edition
  • Progress overview
    An overview of all course edition statuses and results per enrollment for this program edition
  • Plugins    
    An overview of all Plugin settings (if used) 
  • Opportunities
    All opportunities that are linked to this program edition


How to add elements to a program edition?


Within a program edition, you work with elements. These are the building blocks that make up the curriculum of your program. You can manage these under the Elements tab.
These elements can be configured at the program edition level (applying to all enrollees) or at the individual enrollment level (customized per person). 


What is an element?

An element represents a specific component of the program. Depending on your setup, an element can be:

  • Course template/edition

  • Block: A grouping of multiple courses.

  • Elective: A placeholder where students can choose their own subjects.

  • Evaluation:  Component used for the final assessment of the program.

  • Thesis: Component used to capture the thesis requirement.

In the articles above, we will dive deeper into the specific configuration of these different element types.


Adding or specifying an element

When adding a course to a program edition, you have the flexibility to decide when to schedule it:

  1. Specify immediately: You link a specific, scheduled course edition to the program right away.

  2. To be specified later: By using the 'To be specified later' toggle, you can add a course template to the program without choosing a specific date yet. This is ideal for planning future editions where the exact schedule isn't known.

    Watch out, Automatic Enrollments: If a program edition already has active enrollments, specifying a course edition will automatically create enrollments for those students. This action cannot be undone.

Performing actions

By clicking the three dots (action menu) next to an element in the program overview, you can manage that specific component:

  • Link course edition: Link a definitive course edition to a placeholder.

  • Change/edit element: change the element while keeping the element in the program.

  • Delete: Completely remove the element from the program edition.


Managing personalized programs

While a program edition has a standard set of elements, you can also manage the specific curriculum for individual participants. This is done through the Personal Program view.


Accessing a personal program

  1. Navigate to the Enrollments tab within your Program Edition.

  2. You will see an overview of all registered participants.

  3. Click on a participant's name to open their specific program overview.


Understanding the progress overview

The table provides a real-time status of the participant’s journey:

  • Element & Course Edition: Shows which courses or blocks are part of their program. If an edition is not yet chosen, you will see a 'New enrollment' button to link a specific date and location for this student only.

  • Status & Result: Visual indicators show if a course is in progress or completed (green checkmark).

  • Icons: Use the icons on the right to view specific statistics, comments, or to download the certificate for that specific element.



Customizing the personal program

You can deviate from the standard curriculum for individual students. However, it is important to choose the right action when removing or changing a course:

  • Adding Electives: Use the + Elective button to add extra courses or blocks specifically for this participant. These will not appear in the programs of other students.

  • Unlinking vs. Canceling an Enrollment: When you click on a course within a personal program, a drawer opens with Course enrollment details. You will see two options:

    • Unlink: This only removes the connection between the course and this specific program overview.

      • Note: The participant remains actively enrolled in the course edition and will still appear on its student list.

    • Cancel enrollment: Use this button to officially end the participant's participation in that specific course edition. This is the correct action if a student drops a specific subject but stays in the overall program.

  • Cancel Program: Use the Cancel program button at the top right of the personal program overview only if the participant stops the entire program.
