Contacts: Contacts, Organizations and Teachers

Relations

In relations you find four tabs: Contacts, Organizations, Teachers and Duplicate Users. Most of the contacts will have their own account so they can login into Eduframe (student/customer portal) themselves. Without an account contacts can't login in the student/business portal.


There is also a possibility to create a contact without a login. When creating the contact you should uncheck the checkbox 'Email login to contact'. That means no account will be created for the contact and therefore won't be able to login into Eduframe. This also means all email tags with {{Account: ...}} in it won't work for this contact. 

Unchecking the box 'Email login to contact' cannot be unchecked when bulk importing contacts with a CSV file.

How to filter in contacts?

In contacts there are multiple ways to filter in contacts.

  • Labels: If you created labels connected to contacts, you can filter on these in the contact page.
    You can find more information on labels here.
  • Enrolments/orders: You can also filter on contact if they have enrolments and/or orders. 
  • Search: You can search for specific contacts by typing part of their names (first and last name), or by typing the answer of a custom field on the Contact page. 


How to create new contacts? 

There are multiple ways to create new contacts in Eduframe. Contacts can be created one by one or by importing multiple contacts at once by using a CSV file.

A new contact can also be registered on the signup form, which can be an order contact or student and can be done by the contact or student him- or herself.

How to export contacts? 

In the contacts tab you will find the button Export. This directly creates a xlsx. file (Excel file). 



Organizations


Organizations can have multiple contacts and a contact can be linked to multiple organizations. You can also choose one or multiple key contacts within an organization who will be able to see all information of all contacts within that specific organization by having access to the business portal.


In the organization tab you can see the names of the organizations and the number of users connected to this organization. Next to that you will also see the key contact user connected to this organization.


How to filter in organisations?

In contacts there are multiple ways to filter in contacts.

  • Labels: If you created labels connected to organizations, you can filter on these in the organization page.

  • Orders: You can also filter on organization if they have orders. 
  • Search: You can search for the name of the organization in the search field of the Organizations page


How to create new organisations?

There are multiple ways to create new organisations in Eduframe. Organisations can be created one by one or by importing multiple organisations at once by using a CSV file.

An organisation can also be created through an order signup form.

How to export organisations?

In the organizations tab you will find the button Export. This directly creates a xlsx. file (Excel file). 


Teachers

In Eduframe, you also have the possibility to create teachers. After you created a contact, you can make the contact a teacher by going to the Teacher tab. Here you click on the blue '+Teacher' button and you see several options to create one or multiple teachers. click 'new teacher from existing user'. Every teacher is a contact first. 


Teachers are connected to a course or meeting in Eduframe, but not as a participant. 

The teacher will see the assigned course editions and meetings in his or her calendar and on the the teacher portal.

The student will also see the name of the teacher for a certain course edition or meeting in the student.

How to filter in Teachers?

There are multiple ways to filter on teachers.

  • Labels: If you created labels connected to teachers, you can filter on these in the teacher page. You can find more information on labels here.
  • Search: You can search specific teachers by typing part of their names (first and last name), or by typing the answer of a custom field on the Teacher page.


How to create new teachers? 

There are multiple ways to create new teachers in Eduframe. Teachers can be created one by one or by importing multiple contacts at once by using a CSV file.

How to export teachers? 

In the teachers tab you will find the button Export. This directly creates a xlsx. file (Excel file).


Teacher portal 

A teacher can login with the same credentials as the 'normal' contact credentials. After logging in as a teacher, the teacher portal will be visible.

In the teacher portal a teacher can see a calendar with planned meetings assigned to him/her. Also, all course editions linked to the teacher are visible in the tab 'Course editions'. 

If a teacher clicks on his or her name top left, settings can be update in the profile.


Teacher settings for an admin 

Eduframe administrators have several options they can perform with regards to teachers: 

  • When you add a teacher to a meeting as an admin, you can see whether a teacher is already booked at the same time and date by the conflict indicator. 
  • As an admin, you can email teachers to inform them about a course edition and meeting they are assigned to.
  • As an admin, you can add notes to a teacher, e.g. in case the teacher is or is not available. 



Duplicate users

If there are contacts with the same email address or a duplicate indicator, they will appear in the tab 'duplicate users'. You can set a duplicate indicator on custom field level by checking the box 'use as duplicate indicator' for a specific custom field. 



In the tab 'duplicate users', you can merge duplicate contacts into a single contact. You can also ignore the duplicate suggestions. If you do that, the duplicate will disappear from the 'duplicate users' list. 


Please note: it is not possible to merge 2 contacts if the secondary contact is a teacher. If the primary contact is a teacher, merging is possible. This means that 2 teachers cannot be merged and a primary contact (not teacher) cannot be merged with a secondary teacher.
